Purpose of Job : Perform administrative duties to support selling process. Main duties concern coordination of customer orders into order satisfaction process. Secondary duties administration of sale support tasks. In order to ensure that an excellent service and a high level of customer satisfaction.
• Maintain price & discount in system.
• Create quotation in system or by manual excel file for TAS business.
• Send quotation to customer by fax or email.
• Prepare L.G. Requisition and Power of Attorney form for e-bidding process.
• DIB (Direct Indent Business) : Check the price with manager and coordinate with team
• TAS (Triangle Sales): Manage orders and balance local stock with minimize inventory as possible.
• TAS (Triangle Sales): Cooridate with team to create PR
• TAS (Triangle Sales): Once PR approval, create PO and send to customers.
• Send ducument as customer's requested i.e. PDS, SDS, REACH etc.
• Following shipment with team to update customers both for DIB and TAS about ETD, ETA including DDP schedule.
• Follow up shipment and Shipping docs.
• Verify Shipping docs and pass on to Shipping for clearing.
• Look after purchasing of raw materials for local toller production
• Coordinate with warehouse for GR & Goods Issue to Toller.
• Coordinate with warehouse to meet with delivery schedule after goods issue to Toller.
• Send related documents to shipping for export.
• Follow up vessel schedule from shipping & inform customer for export business.
• Follow up overdue.
• Receive customer's compliant and submit to QNS system (SAP) then follow up until end process.
• Coordinate with team to summit sample requested from customers.
• Check & follow-up the sample status to ensure on time arrival with the requested date from Sales Team.
• When samples arrival keep in shelf, inform the requestor, then record the arrival date and lot number in book.
• Packing samples and sendto local customers as requested by Sales Team.
• Searching COAs of sample in SAP.
• Check & Clear samples annually. In case of expiration, pass them on to factory for destroy.
Increase of Efficiency
• Ensure the adherence of the local procuration for documents approval level.
• Ensure meeting with the deadline required by Sales Team.
Interaction and interface with other departments
• Interface with sales and supply chain team in the area of customer requirements.
• Interface with the production, warehouse & transport management in the area of local CSD.
• Interface with import/export desk and marketing of Clariant affiliates group.
• Toll manufacturing process.
