Leadership in Action (LiA) Activities Officer

The school is looking for a LiA Activities Officer to support all Leadership in Action curricular and extracurricular activities, working with Upper School staff and students, to ensure the smooth running of the LiA Programme, be the point of contact for all activities providers and ensure that the necessary facilities, resources and personnel are in place for participants. The LiA Activities Officer will work closely with the Head of Upper School Leadership in Action.

Main Duties and Responsibilities:

 Leadership & Service Curriculum

  • Create and populate the Leadership & Service Curriculum monitoring spreadsheets and share headline data with the tutors and Heads of House regularly (twice per half term) and update reports annually (ensuring appropriate range and spread of opportunities)
Activities Programme Sign-Up Support
  • Liaise with all providers on the staffing, resourcing,locations and scheduling of the activities programme
  • Maintain accurate records for pre-sign up, staff sign up and total student numbers per activity
  • Collect activity registers and report back to pastoral leaders about non-attendance on a daily basis
  • Liaise with accounts to prepare invoices
  • Maintain activities information within the activities database (ENGAGE)
  • Respond to parental queries about the activities programme and act as a first-port of call before referring matters on to the appropriate member of staff
  • Support HR in the annual induction and safeguarding training event for outside providers
  • Be aware of incoming and exiting service providers and inform HR of any changes to individual service providers details and staffing changes
  • Act as the point of contact for service providers- deal with queries about late pupils, behaviour, timings etc.
  • Make recommendations to the Head of Upper School LiA about ways to improve the activity programme or if there are concerns from parents, students or staff about the quality of any activity
  • Prepare requisitions for payment for Leadership in Action Department
  • Assist with staff/student first aid training as required
  • Support with populating the activities service database during sign-up periods for each activity season, and support in face to face liaison with students and parents regarding activity selection

Events Related

  • Support the facilitation and schedule management of both internal and external events (eg: house camps, Y9 exhibition, Rainbow ride, Rice Cropping and Mae Sod trip), Exchanges and Challenge day
  • Liaise with the operations team and external agencies/providers to ensure the planning and safe running of events
  • Offer translation and pupil motivation support with the planning of trips to organisations/charities like Habitat, Beaumont Pattana School and Mae Sot and support student-led activities as required

 Resources Related

  • Purchase, catalogue, store and maintain all equipment used for LiA events, Challenge events and other Leadership events as required
  • Prepare PRs as required for items purchased
  • Ensure the set up and cleaning of all equipment used in LiA activities, (eg: Tents, camping kit)
  • Support with gaining sponsorship in advance of events

Communication Related

  • Provide effective communication of LiA information to students, staff, parents and other stakeholders
  • Liaise with various charities and outside providers related to the Community/Service aspects of the LiA programme

Duke of Edinburgh Administration Support

  • Arrange all Purchase Requests for Duke of Edinburgh in collaboration with DoE coordinator
  • Research new Service opportunities for DoE participants in collaboration with staff to ensure opportunities to fulfil the DoE criteria
  • Prepare all certification for DoE award winners
  • Support new student induction process/programme as required (provide information etc.) as directed by the Academic Lead

Additional responsibilities

  • Any other requests as required by the Head of LiA and to support any other activities within the school (i.e. Faculty projects, school productions, Marketing requirements – i.e. photography and equipment)
  • Follow all agreed School Policy and procedures as shared and in the Staff Handbooks
  • Undertake other reasonable duties as requested by the Senior Leadership Team and any duties that the Head Master deems necessary for the effective operation of the School
  • Provide acceptable and up to date police checks (or equivalent) from the country of origin and from all other countries in which the applicant has worked
  • Appropriate references from current and previous employer, corroborated by personal phone calls made to each referee
  • Participate in the Performance Development Review process as required

Other Duties:

  • Follow all agreed school policy and procedures as shared and in the staff handbooks
  • Undertake other reasonable duties as requested by the Head of Department, Head of Faculty or members of the Senior Leadership Team and any duties that the Head Master deems necessary for the effective operation of the School


  • Bachelor’s degree in a related field
  • Excellent verbal and written communication skills in both Thai & English
  • Proficient in Microsoft Office Suite or related software necessary to create and maintain reports and logs
  • Excellent organisational skills and attention to detail
  • Multi-tasking and time-management skills, with the ability to prioritise tasks
  • Ability to work under pressure and deadlines
  • Enthusiasm, energy and a sense of humour
  • A willingness to work on early mornings, evenings and weekends
  • Able to work as an integral member of a successful, dynamic and professional team
