Office Executive (Male only)

          Currently, we are looking for Office Executiveto join our team. This role will be in charge of office administration to ensure smooth and efficient running of office procedure on a daily basis.  The ideal candidate should have the quality of attention to details, multitasking, and problem-solving skills to perform well in assigned role. As an Office Executive, you will be responsible for

  • Office management and facilities
    • Manage office space to ensure that all space is utilized effectively and properly, clean and sufficient to requirement.
    • Organize a consistent schedule to check the quality and condition of machine and facility to ensure that they are in ready-to-use condition. Deal with mechanic and supplier team when necessary.
    • Be a key person to contact with property agent in office’s rental condition, rental contract and monthly rental fee.
    • Manage budget for office facilities and department’s petty cash.
    • Handle cycle office expense (e.g. office rental, shop rental, electricity, water, phone and internet bill etc.).
    • Track and report key functional metrics to reduce expense and improve effectiveness.
    • Plan, prepare and provide sufficient office facilities for the team including stationary, office supply, beverage, cleaning supply, first-aid equipment, computer and IT facilities.
    • Monitor and record company asset, stationary, purchase and maintenance contract.
    • Prepare and submit monthly expense report.
  • Purchasing
    • Responsible to support repeated purchase. Work with related team to understand the purpose and condition of the purchase. Find quality suppliers, compare suppliers and get quotations from them.
    • Deal with suppliers and external team in the aspect of orders, delivery status, documentation and payment.
  • IT support
    • Head the IT set-up and support for office and sales team. Install and maintain company’s computer, printer, scanner, server, network, telephone, fax, finger scan, CCTV, EDC and POS system.
    • Daily troubleshooting and provide suggestion for a handle and system restoration.
    • Initiate an IT guideline and educate sales team in basic IT troubleshooting.
    • Set IT security policy and handle related IT document.
    • Recommend and purchase IT equipment and software which suit to operational need and be able to increase productivity.
  • General Administration
    • In charge of company’s business-related document e.g. Company’s registration document. Timely prepare and update to the team when necessary.
    • Provide a documentation support to the team in importation and business process.
    • Coordinate with customers and messenger team in billing and cashier cheque issue.
    • Be the office operator to receive the phone call, identify caller’s need and route the call appropriately.
    • Other tasks assigned by Direct Manager.

This role requires:

  • Keen on office support or office administrator role.
  • Strong clerical and problem-solving skills.
  • Knowledge in IT and office policy.
  • Passionate and enthusiasm to support people by reducing non-efficient working procedure and expense.
