Endoscopy Service Coordinator (Spare part control Specialist)

Job Summary

  • Operate daily administrative works in Endoscope Service & Support division.
  • Investigate any problem/ineffectiveness in Endoscope Service & Support division from the aspect of operation/administration, and create solution for each issue by cooperating with Manager.
  • Discuss and Agree KPI for both short-term and long-term with Manager.

Responsibilities& Accountabilities

  • Carry out our task to the very end with following company rules.
  • To be a coordinator/operator of Endoscope Service & Support division (Endo service).
  • Understand internal process and improve it (if any) for efficient process.
  • Work in the office and operate regular administrative jobs such as below,
  • Making PR (Purchasing Request) and sending PO (Purchase Order) of Endoscopy Spare Parts.
  • Manage inventory of Endoscopy spare parts; keep appropriate amount of spare parts stock, make order as above, keep update to Manager regularly about inventory situation (which items have to be keep in stock more, which items have to be reduced stocks to minimize slow-moving stock etc.), and so on.
  • Monitor the progress of spare parts order, and report to Manager weekly. And if there is any concerning delay of spare part shipment, report to Manager timely and work with Manager and SCM team for checking the reason and solving it.
  • Support Manager to manage progress of each repair items by excel file or Google spreadsheet so that everyone can share current status of each items at a glance.
  • Support Manager to make weekly report.
  • Support Service engineers to manage/control company assets especially Endoscopy demo/loaner equipment with utilizing appropriate system.
  • Physical management of assets (preparation of items, investigation, packing etc) are not task of this candidate.
  • Keep track of asset usages (requested by dealer or used by FTAI for event) by excel data, Google spreadsheet or any other tool so that Manager can investigate these data such as the tendency of assert usages, interested customers etc.
  • Prepare documents for shipment of asset equipment and others (if any).
  • Communicate with our distributor time to time regarding spare parts order, service request, and so on, and report to Manager about these topics, then check progress of each of them.
  • Communicate with right person in FFAP (Fujifilm Asia Pacific) and FTYO (Fujifilm Headquarter) if any information/communication needed. Especially some cases such as warranty repair, replacement items from FFAP/FTYO, and so on.
  • Candidate doesn’t have to have knowledge about endoscopy equipment or spare parts.
  • Cooperate with managers, Service engineers, sales reps, sales coordinators and other colleagues in FTAI for keeping job effective and productive. 
  • Report bad news timely and proactively and initiate discussion of the solution with management.

 Qualifications:

  • Bachelor Degree or Master Degree
  • Experience of SCM of spare parts in manufacture company is preferred (not necessary)
  • Experience of administrative job is preferred (not necessary)
  • Working experience in Manufacture company (especially Japanese company) is preferred (Not necessary)
  • Ability to utilize Microsoft office (especially Excel) and normal system such as Google spreadsheet is essential
  • Good command of written and spoken English is essential (TOEIC 700 )
  • Proactive, well-organized, has can-do attitude, politeness
