Office Administrative Specialist

The administrative specialist is responsible for various roles within an organization to help ensure effective day-to-day operations not limited to, performing general clerical tasks, communicating with and provide general support to visitors, responding to phone calls and emails, and managing office equipment and supplies the majority of administrative duties in the company. Administrative specialists may also be required to create reports and memos, organize events, and serve as assistant to Managing Director and provide support for the entire company. 

This role requires individuals who possess distinct skills in communication, organization, and problem-solving.

  • Active participation in office management, including handling general clerical tasks
  • Monitoring and maintaining office equipment and office supplies; orders replacement supplies as needed
  • Prepare and maintain company documents and reports, updating office policies and procedures.
  • Manage the calendar of Managing Director on daily basis, supporting Human Resources department
  • Schedule meetings and appointment, book meeting rooms and prepare meeting agenda.
  • Monitor and manage expenses within the allotted budget, preparing reports on expenses, office budgets, and other expenditures
  • Make travel arrangements including airline and hotel reservation for Managing Director and managers
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories
  • Organizing special functions and social events or company event
  • Preparing correspondence, documentation, or presentation materials


  • Bachelor’s Degree in Business Administration or related field
  • Prior experience as an office assistant, office administrator, or handling administrative responsibilities in a related field
  • Able to work on other related works as assignments
  • Excellent written and verbal communication skills
  • Excellent time management skills; ability to prioritize
  • Willingness to learn and to grow with the company and motivated to take on additional projects and solve problems
  • Self-directed and able to work without supervision
  • Comfortable in both a leadership and team-player role, manage team members, lead assistant meetings, and supervises when needed
  • Highly organized multi-tasker who works well in a fast-paced environment
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars a must
