Admin & Finance Executive (Supervisory Role)

Role of the Position The Finance and Administration Officer reports to the Managing Partner

This person is responsible for providing effective and efficient financial and administrative services. This position is subject to a probation period of 3 months. Electronic records are stored locally and on an external Cloud Server.

Duties and Responsibilities 


• Assist with preparation of the budget

• Implement financial policies and procedures

• Establish and maintain cash controls including deposits and donations

• Establish, maintain and reconcile the general ledger

• Monitor cash reserves and investments

• Prepare and reconcile bank statements

• Establish new and maintain existing supplier accounts

• Process supplier invoices

• Maintain the purchase order system

• Issue cheques for accounts due 

• Ensure security for all credit cards and verify charges

• Ensure transactions are properly recorded and entered into the computerized accounting system

• Maintain financial files and records

• Maintain all relevant insurance policies

• Prepare income statements

• Prepare balance sheets

• Receive and verify invoices

• Process and record petty cash transactions

• Reconcile accounts by using Zero Accounting System

• Submit staff time sheets for payroll processing

• Liaise with the auditor to produce an annual financial statement

• Establish and maintain a range of basic databases and records systems including;  mailing lists  membership details  office records  others as required



1) Overall in charge of Office Administration

2) Overall in charge of Human Resource

3) Provide full support to the partners


1. Educational/Vocational Qualifications Post Secondary Qualification in Business Administration, Accounting or Management

2. Experience Demonstrable experience in a similar role as described in the Duties and Responsibilities above

3. Knowledge

3.1 Good understanding of accounting principles including accrual accounting, reconciliations, general ledger journals

3.2 Proficient in the use of Reckon Accounts Plus

3.3 A high level of knowledge and competency in Microsoft Office especially Word, Excel and Publisher

3.4 Experience in the use of Microsoft Outlook

3.5 Confidence with the use of computer networks.

3.6 Experience in general reception duties
