Intellectual Property Administrator

Job Summary: A person in this position, so-called IP Administrator, will be responsible for supporting administrative task related to the company’s legal and IP documents. The person has to work with external service providers, including auditors, attorneys, and other IP agents and support staff with tasks including preparing, tracking, and maintaining relevant documents.

 

Key responsibilities will include:

  • Ensuring that all records relating to the company’s legal and IP related documents are maintained accurately and securely:

o   Checking whether the effect of each data capture is correct, particularly as regards generated deadlines (for paying annual maintenance fees and requesting examination);

o   Recording invoices and payments for budget follow-up; and

o   Maintaining patent and trademark files and calendars, ensuring completeness, accuracy, and that all due dates are met.

  • Maintaining and update the company’s internal legal document and IP systems, specifically internal registration databases.
  • Coordinating with the internal staff and external service providers including staff, foreign agents, auditors, patent offices, attorneys and other IP agents to work with related matters arising including preparing letters, official electronic mails, invoices, presentations, and reports.
  • Using a variety of software packages, including MS Outlook, MS Word, MS Excel, and MS PowerPoint.
  • Collaborating with Receptionist and general office management duties.
  • Possible future management responsibility for a wider Administration Team.
  • Other assignments regarding the company’s innovation committee’ activities.


Education: Bachelor’s Degree or Master’s degree in business, appropriate Liberal Arts, technology management, or other disciplines considered with experience.

Qualifications:

  •          Experience in contracts development, negotiations, and interpretation.
  •          Ability to read and interpret engineering technical documentation.
  •          Knowledge of Government contract laws and regulations preferred.
  •          Strong interpersonal and communication skills (written and verbal) required.
  •          Due to the legal and IP nature, essential requirements for the role are accuracy and attention to detail.
  •          An ability to organize and prioritize their workload within an often busy, deadline driven environment is critical.

Experience Year: 2 years of applicable experience, fewer years considered with an advanced degree.

Experience Field: Experience in electrical/electronic industry, automotive industry or other R&D fields is a plus

 Special Requirement:

  •          Complete discretion and ability to work with confidential information.
  •          Patent and trademark matters, paralegal experience/certification, is a plus.

Have a background in semiconductor, technology management, patent/IP management, electrical/electronic, and able to create and review a legal document is a plus
