Consultant / Senior Consultant/(HR Shared Services)

Reports to:

 Senior Consulting Manager

 

 

 

PURPOSE:

The Senior Consultant (HR Shared Services Function) is to be the main point of contact for both contractors (TEMP and Contract) and clients and to successfully provide the full spectrum of HR shared services support for the assigned set of employees/contractors within the defined SLAs and timelines.


KEY RESPONSIBILITIES:

Onboarding

  • Manage the end to end pre-joining and onboarding formalities so that the contractors have a smooth integration. This includes contract issuance, work pass applications, renewals, collection of documents, conducting of reference checks and so on.

HRIS

  • Manage the contractors’ information and ensure that regular updates are done in the system. Maintain accurate and timely data recording. Issue letters and support them where required
  • Provide end-to-end administrative support including (but not limited to) preparing and uploading documents to DocuSign for both Contract and Temporary Workers, extension, termination, contract resignations, reference checks, warnings, grievances, leave requests, claims requests, contractor bonuses, renewal or termination of Work Passes.
  • Notify Managers when their Contractors are due for renewal or termination, confirm their decision and inform Contractors accordingly.

Performance Management

  • Manage the performance appraisal process as required. Follow up and track completion of performance appraisals for clients that require this.

Time sheet, and Claim Administration

  • Ensure timely and accurate payroll information is provided so that contractors receive their salary payments accordingly
  • Manage leave, insurance, allowances and another benefits administration
  • Disciplinary issues and grievance handling
  • Off boarding and management of the exit process
  • Ensure processes are administered accurately within defined SLAs
  • Work closely with the contractors and clients to improve work relationships, build morale, increase productivity and retention

 

Liaising with internal and external stakeholders

  • Connect with client regularly and provide HR advisory services as required
  • Maintain a close connect with consultants who place the candidates so as to ensure that there are no information gaps.
  • Liaise with the Finance (Payroll) team to resolve contractor timesheet issues, claims and payment issues, Client billing issues, overpayments made etc. and inform them on advance listing and payments.

  • Exceeding of the individual and team KPI’s consistently.
  • Monthly reports and management reports are accurately prepared in accordance to applicable government and company standards and submitted to the relevant parties on time.
  • Contractors’ (Temp and Contract) salary are paid on time with accurate and efficient timeliness.
  • Acknowledgement from team, peers and managers as an effective staff.
  • Acknowledgement from clients and candidates for individual’s and team’s service excellence.

  • Meeting the tight deadline of reporting upon requested.
  • Accuracy of the reports prepared.
  • Minimum disputes from candidates and clients.
  • Maintains operational effectiveness and delivers the highest quality services to meet customer needs.

  • Meeting with customer satisfaction.

SKILLS and COMPETENCIES:

General Minimum Requirements

  • Bachelor’s Degree in any field.
  • Minimum 3 years in a handling HR C&B included Life Cycle of On-boarding until Off-boarding cycle, vendor management. Preferably in an outsourcing or consulting capacity.
  • Must have direct vertical or industry knowledge and experience
  • English Language communications – spoken and written.

  • Business acumen.
  • Problem solving and analytical skills.
  • Interactive and communication skills.
  • Able to work well under pressure.
  • Resourceful to the team in term of HR Client Solutions.
