Business Coordinator / Secretary to MD

Our client is an aviation operation service provider from middle east. They have been appointed as a General Sales Agent for Thailand. The business including passenger, cargo and airport services. They are working under international environment also diversity of cultures, religions and belief.

Responsibilities:

  • Provide secretarial supports to executives
  • Manage contract, price negotiations with vendors and service providers, and handle all procurement processes.
  • Liaise with facility management vendors such as cleaning, catering and security services
  • Organize office operations and procedures and ensure that they comply with regulatory requirements and internal policies
  • Address employees’ queries regarding office management issues (e.g. stationery, travel arrangements)
  • Organize in-house or off-site activities, like parties, celebrations, and conferences
  • Maintain electronic and paper records ensuring information is organized and easily accessible and handle confidential documents ensuring they remain secure
  • Manage office budget, ensure accurate and timely reporting
  • Expense management - keep track of invoices and processing of expense claims and related record-keeping
  • Coordinate staff onboarding and off boarding which includes requesting equipment setup and system access.
  • Handle regular activities without being prompted, and advise in advance with issues or delays
  • Provide regular status updates for pending tasks
  • Assist Management in day-to-day operations

 

Qualifications: 

  • Thai nationality only
  • Bachelor's degree in Business Administration or related field.
  • 0-3 years work experience as a secretary or business coordinator
  • Knowledge of office administrator responsibilities and Procurement systems
  • Proficiency in MS Office (MS Excel and MS Word, in particular) and familiarity with email scheduling tools (MS Outlook)
  • Good English commnication
  • Excellent organization and time management skills and ability to multi-task and prioritize work in a fast-paced environment
  • Tact and good judgment in confidential situations and the ability to interact with senior management
  • Ability to take initiatives in suggesting improvement for work procedure, office environment
  • Team-oriented with an open and service mind
  • Some knowledge of accounting
